Consider/Approve Paper Bid for the 2013 – 2014 School Year

Background Information:

In addition to advertising, we solicited bids from Liberty Paper, Lanzer, Inc., Sam’s Club, R. J. Young, Howard D. Happy Co., Contract Paper Group, Inc., Office Services, Learning House, American Paper & Twine, J D Distributors, and Staples for the purchase of duplicating paper (9,600 reams, specifications attached), which will be budgeted in the General Purpose School Fund for the 2013 – 2014 fiscal year. We received bids for this purchase as follows:

Contract Paper Group – $23,952
Howard D. Happy – $26,160
JD Distributors – $23,232
Lanzer’s – $25,440
Liberty Paper – $22,220 (Does not meet specs; only bid 880 cases; bid was late in being delivered)
Sam’s Club – $21,840 (Does not meet specs; all paper not bid to be delivered as quoted)
Staples – $24,624

This year’s bids were very competitive with J D Distributors submitting the low bid that met all bid specifications.

Staff Recommendation:

I recommend approval of the low bid meeting all specifications as submitted by J D Distributors. With this approval, it is the intent of the Board and management that no liability will be incurred, nor a purchase order issued, until the fiscal year beginning July 1, 2013.
